The mission of University Advancement is to secure support for NC State University in terms of dollars, service, and engagement by delivering an integrated program of development, alumni relations, communications and marketing, and advancement services. Our objective is to build deep and long-term relationships with alumni and other stakeholders and partners that will ensure increased support to NC State in the future.
Advancement Services provides timely, accurate and actionable resources to enhance fundraising and engagement activities at NC State University. We achieve this through effective business intelligence and reporting, compelling donor research and analysis, innovative technology, quality donor and alumni information, and superior customer service, all while applying ethical gift and data management practices. Advancement Services supports the operations of Alumni Relations, University Development & University Communications. The unit oversees the University’s alumni & donor database,, analytics and data reporting systems, processing gifts and conducting research about potential philanthropic opportunities. Advancement Services also maintains financial records, conducts donor research, receipts corporate & individual private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, administers the corporate matching gifts program, updates & verifies alumni records, manages donor prospect tracking systems, plans and manages gift agreements & endowment reports.
The Office of Prospect Development is a subunit of Advancement Services, one of four departments managed by University Advancement (UA). Prospect Development’s mission is to enhance NC State’s philanthropic endeavors by partnering with fundraisers to deliver timely information, moves management and data and prospect analysis. In doing so, we maximize the opportunity for private funding that benefits students, faculty, and the university’s strategic priorities. We function as two teams with one unified goal. The Prospect Research side develops estimated capacity ratings, provides valuable asset and giving information at the right time of the donor cycle, and engages in suspect identification activities through proactive research. The Prospect Management side completes the team by performing moves management system updates, providing complex analysis, and reviewing portfolios to ensure standards and activity goals are being met.
Essential Job Duties
NC State seeks an Associate Director (focusing on Prospect Research) with strong communication, interpersonal and problem-solving skills. The successful candidate will have exceptional judgment and the ability to embrace and guide change. The Associate Director is responsible for partnering with frontline fundraisers to provide timely research and new suspects for qualification, all in the effort to maximize returns for solicitations.
The Associate Director reports to the Director of Prospect Development, and works strategically and synergistically with the other members of Advancement Services (AS) on all levels, with the University’s office of Central Development, and with college and unit-based development personnel to accomplish each unit’s goals.
Major Duties and Responsibilities:
- Manage a team of Prospect Development Analysts and one Sr. Analyst, who perform research for our Major and Principal Gifts teams. The Associate Director must be able to mentor and lead by example in professionalism, collegial support and team involvement.
- Work with the Director and other AS staff members as we move towards the migration to a new CRM. Lead the continual enhancements of our new CRM once we go live.
- Design and implement reporting to monitor prospect research activities, pulling in necessary partners to complete these tasks. Report activities to the Director monthly.
- Manage peer review process.
- Monitor research work queue.
- Isolate, investigate and implement opportunities for continual system and procedural improvements in NC State’s research processes and policies.
- Provide training to Prospect Development and fundraising staff on research deliverables, ratings, and policy.
- Provide timely and reliable high-level qualitative and quantitative trend analysis that supports the strategic and operational effectiveness of NC State’s major and principal gift programs.
- Create and update prospect research policy documentation as needed.
- Advocate for, and represent, policy best practices while acknowledging the need for flexibility and evolution as institutional needs may arise.
Other Responsibilities
- In addition to the core responsibilities of this role, there may be occasional opportunities to take on additional duties, as directed by the Director of Prospect Development. This offers an opportunity to build on your skills, explore new areas, and gain a deeper understanding of the department’s operations.
Minimum Education and Experience
- Bachelor’s degree and five years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity; or an equivalent combination of training and experience.
Other Required Qualifications
- Five or more years of experience in prospect research.
- Advanced ability in Excel, proficiency in Word and PowerPoint; proficiency in Google Workspace.
- Proven effectiveness in leading and managing change; creative problem-solver; effective practitioner.
- At least two years experience in using relational databases to generate reports and data insights, and for auditing purposes and troubleshooting, preferably with Kindsight Ascend on Salesforce or other advancement databases.
- Demonstrate knowledge of how to communicate for influence; mastery of variant communication and learning styles; and the ability and willingness to flex or adapt for different situations and styles.
- Demonstrate ability to work collegially and supportively with stakeholders, Advancement colleagues and executive leadership.
Preferred Qualifications
- Bachelor’s Degree in library science, business data management, or a related field.
- Supervisory experience.
- Ability to manage multiple projects and priorities and meet challenging and changing deadlines.
- Ability to make informed decisions and recognize when to seek help interpreting requests.
- Able to work independently as well as coordinate projects and activities with others.
