Administrative Assistant - Career Development
Job Description
The Administrative Assistant is under the supervision of the Director of Career Development and Services and serves as the office receptionist. Provides customer service for the office, directs students to personnel and/or services offered by the Office of Career Development and Services, and supervises and evaluates the student workers employed in the office. Assumes responsibility for providing general administrative support, including but not limited to, coordinating and scheduling of clients seeking services of the Office of Career Development and Services; scheduling appointments with staff; maintaining the career development planning library; scheduling appointments with students for job interviews/mock interviews; and preparing the recruiting schedule. Assists the director with delivery of career planning and placement information to the College Community on a systematic basis (i.e., newsletters, brochures, and the development of flyers and posters); preparation and typing of reports as requested by the Director; and maintaining all office bulletin boards relative to information for clientele on recruiting schedules, job notices, examination notices, graduate school information, and staff appointments. Develops and maintains all client records including placement files, travel requests, purchase requisitions, and work order requests. Performs other duties as assigned by the Director in support of the annual goals of the department, and the objectives of the Student Development and Services Division.
Qualifications
An associate degree in Administrative Office Technology, Secretarial Science, Business, or a related discipline required. Candidate must be knowledgeable of office practices and procedures and possess exceptional customer service skills. Ability to perform under minimum supervision, work independently, make sound judgements, and communicate effectively, both verbal and written form, with students, faculty and the public required. Strong organizational, recordkeeping, and coordination skills required. Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and have a working knowledge of other automated systems. Experience working with students and external companies and businesses strongly preferred. Previous secretarial/clerical experience required and office management experience.
