Title: Office Manager
Schedule: Full-time, 40 hours/week | Will include weekends and holidays during the event season
FLSA: Non-Exempt – Hourly | $17 – $19 per hour plus overtime and benefits.
Reports to: Executive Director
Purpose:
In support of GMHA’s mission, provides management and support for the day-to-day operations of the office and the trail events.
Office Management
- Meeting and greeting visitors to the office and answering the phone, acting as the first point of contact and the ‘face’ of GMHA with emphasis on providing friendly, efficient customer service at all times
- Maintaining the eTapestry database in consultation with other members of staff
- Developing and managing the office budget
- Ordering and keeping inventory of GMHA merchandise
- Managing all aspects of the GMHA membership activities, including regular mailings and reports. Managing lists for the Annual Meeting, Annual Fund, and member-based mailings
- Recording donations in the database and mailing donor letters of acknowledgement in consultation with the Bookkeeper
- Acting as the point-person for IT issues and working with the designated IT providers to ensure the maintenance and utility of the systems
- Maintaining knowledge of local vendors, contractors, businesses, and community organizations, and assisting in determining the choice of provider to best meet GMHA needs
- Maintaining the inventory of office supplies (administrative and housekeeping) and take responsibility for ordering and record-keeping
- Working with the Executive Director to provide support for board and board committee meetings as needed
- Providing administrative support for staff in the course of their daily work
- Providing basic housekeeping in the office
- Working with the Executive Director and staff to hire summer interns, plan their schedules, and overseeing the fulfillment of their duties
- Managing volunteer recruitment to help minimize costs and maximize efficiency in office operations
- Ordering and managing the inventory of event ribbons and prizes; pulling ribbons for events and setting up ribbon and prize displays
- Keeping trophies updated and managing event file storage
- Taking on any other tasks and duties as deemed necessary by the Executive Director or Board for the smooth running of GMHA
Skills, Knowledge & Qualifications:
- In-depth knowledge of office management practices and procedures
- Excellent interpersonal and communication skills and a personable manner towards supervisors, staff, clients, volunteers, suppliers, and the general public
- Ability to interact with others with tact and diplomacy
- Strong organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedules
- Interest in horses and equestrian events; must love dogs
- Initiative, sound judgment and ability to work independently
- Highly proficient with computer applications, including the Microsoft Office Suite.
- Willingness to learn new computer applications used by GMHA (e.g., eTapestry, SignUp Genius, various horse show programs, etc.)
- Honesty, reliability, and a good work ethic
- Willingness to work weekends as necessary
- Valid driver’s license
